How we work

One supply chain file, every questionnaire out of it: from official text to understandable answer

You upload your customer's sustainability list, we fill in what we can retrieve from your supply chain file, you review and submit it yourself.

  1. You upload the questionnaire

You receive a VSME list or another sustainability list from a customer. You place the file in the system, exactly as you received it. Our system reads the questions and recognizes which topics they cover: environment, social policy or governance.

  2. The system searches for answers on

The system looks in your supply chain file: the data and documents you previously filled in or submitted. Where an answer fits, it is proposed. If there is no source for a question, that question remains open.

  3. You confirm each answer

For each question you see the proposed answer and the source. You click yes or no. Nothing goes through without you having reviewed it.

  4. You submit it yourself to your customer

We never log in to your customer's portal. You download the completed list and submit it yourself, in the way your customer requests.

  5. Your file remains ready

The answers you have confirmed remain in your supply chain file. With the next list from the same or another customer you have less to do again.

What this is not

We do not provide a sustainability statement and no score. There is no quality mark and no approval from us: you remain responsible for what you submit.

No one at our office reads your customer's list substantively. The system recognizes questions and searches for sources; you decide on each answer.

Supplia helps SMEs by making reliable information available. But how do we ensure that information is correct and remains correct? This goes far beyond writing once and calling it done.

At Supplia, we work with a single chain file. This means that every information source we use – for example, a legal regulation, a government guideline, or an official format – is registered centrally. This way we know exactly where a piece of information comes from and can fall back on that source when something changes or is disputed. Writing once generates multiple questionnaires and articles from that same file. This not only saves time; it ensures consistency.

Our editorial team always starts with the official source. We read regulations, circulars and guidelines in full. Next, we rewrite this in clear Dutch, without jargon but also without leaving out anything that matters. We check every statement against the original. Only then are articles published.

But we don't stop after publication. We regularly scan our sources again. Does the law change? Then that is immediately apparent and we can adapt our content. We do this continuously, so you always work with current information.

This system only works if we take it seriously. That is why we have chosen a single chain file: transparency and traceability. You can always see which source stands behind information. And for us this applies: nothing published without that link. That makes Supplia reliable and gives SMEs certainty in their business.
